Who We Are
Calvin Thomas Studio is a Toronto-based photography studio specializing in headshots and portraits.
What We Collect
Booking via Square: When you book a session online, Square collects your name, contact details, and payment information. We receive booking/contact details and session info; we do not receive full payment card numbers.
Direct communications: If you email, call, or message us, we retain the contact details and information you provide.
Email list: We may send studio news or offers to clients or subscribers who have given consent or where implied consent applies. Every email will include an unsubscribe option.
Technical data from third-party embeds: Our booking page includes a Google Maps embed. Google may collect technical data (e.g., IP address, device/browser) via cookies or similar tech when the map loads.
How We Use Information
To schedule and manage sessions, deliver images, and provide support.
To communicate about bookings, policies, and updates.
To issue invoices/receipts and meet tax/audit obligations.
To send marketing emails if you’ve consented or if implied consent applies; you can unsubscribe anytime
Lawful Bases / Consent (Canada)
We collect and use personal information for purposes a reasonable person would consider appropriate for running a studio (e.g., booking, billing, client communications). For marketing emails, we rely on express or implied consent under Canada’s Anti-Spam Legislation (CASL). Every commercial email will identify us and include a functional unsubscribe; unsubscribe requests are honored within 10 business days.
Sharing and Processors
We don’t sell or rent personal information. We share limited data with service providers who help us run the studio (e.g., Square for bookings/payments; Google for the Maps embed). These providers process data under their own privacy terms. Payment card data is handled by Square.
Cookies & Third-Party Technologies
We don’t set marketing cookies ourselves at this time. However, third-party features we use (e.g., Google Maps, Square) may place cookies or collect technical data when you interact with them. Storage, Location & Retention
We store contact/booking details securely and retain them only as long as necessary to provide services and meet legal requirements (e.g., tax and record-keeping). Some processors (e.g., Square, Google) may store or process data outside Canada.

You may request access to, correction of, or deletion of your personal information (subject to legal/record-keeping requirements). You can withdraw consent to marketing at any time by using the unsubscribe link or contacting us.
Children
Our services are intended for adults. Where we photograph minors, booking and consent are managed through a parent or legal guardian.
